A Few Tips for Maintaining Office Technical Hardware

You may have used the same office computer for some time now and have started to see a noticeable amount of slowdown, as well as seeing the computer struggle to run a few programs at once. Due to the nature of office work, computers will eventually become full of obsolete programs and un-needed documents.

As an accumulation of this processing strain, even opening two programs at one time will become a laborious task, as well as causing the computer to overheat, which can lead to irreparable damage to the system.

This can, however, be avoided by following a few guidelines that require very little technological knowledge. Below are my top 5 tips for getting the most out of your office computers:

5. De-fragment the system and get rid of older files - Some employees may have to install programs on their computers simply for one-time use and then never use them again. Even when not used for some time, some programs will open themselves at start-up, which can significantly slow the processor - however these can generally be uninstalled easily or disabled at start-up. Simply open the control panel and click on 'uninstall', or for disabling at start-up, run msconfig.exe, go to start up tab and un-tick unnecessary programs.

4. Extra hard drive - Regardless of the work that the office does, it is crucial to backup documents in case a driver fails. This is a simple task when using a portable hard drive, which are high-spec, offering a sizeable amount of space. This hardware is the perfect way to store a number of documents for future use, transferring between machines and keeping extra security.

3. Buy a second router. Most modern companies use services online; whether researching, writing or trading, the world wide web is an integral part of a number of businesses. This can also lead to a heavy build up in the office of people using the same hardware, which can contribute to a major decrease in speed. Using two routers, however, you will notice a significant increase in internet speed and wireless reach.

2. Keep desktop clear, just like your real desk. You can reach maximise productivity if you keep it clear and spacious. Sort your folders properly and for extra clarity, keep them in clear dated folders. This will not really speed up your system; however it does make retrieving and checking files and documents a lot simpler.

1. Install the newest OS. Whilst this might seem like an expensive measure, you will see a massive advantage to keeping your OS updated. Advancing software is a key part of computing, so keeping an updated OS is a must. I have previously worked in Addison cubicle space where Windows 7 was shunned in favour of Windows XP. However with Windows 7, you will benefit from increased security and automatic updating.

There are a large amount of methods of increasing the processing speed of your computer - some of which are easier and cheaper to implement; however these are worth using as they can all work to make computer use simpler and improve employee morale and overall productivity.
