Keeping paper shredders near employees' stations will help ensure that customers' identities are better protected. It may seem like a small step to take, but every little bit helps. When a client is sitting with a loan officer to adjust an interest rate, for instance, he will feel more confident when he knows that his sensitive documents that have become obsolete are being destroyed on the spot. People have become keenly aware of the dangers of identity theft, and will appreciate that their bank cares about it too. They'll tell their friends! Let customers know that sensitive data stored on the financial institution's hard drives are encrypted and safe when they are not in use. Identity thieves are very adept at accessing confidential information anywhere, but encryption will prevent them from stealing vital data. Similarly, a bank's files should be backed up and encrypted at a secure off-site location to further prevent inadvertent theft. Backup tapes are antiquated, and are much too vulnerable to unethical activity. Banks should never trust their email system unequivocally. It is often necessary for sensitive information to be transferred from manager to underling and vice versa via email. However, it is possible for email accounts to be hacked into and falsified. It should be standard procedure that employees contact a manager by phone or in person when asked to send any sensitive data by way of email. Conduct regular employee training sessions to help keep them up to date on the latest techniques in safeguarding their customers' identities. They should be regularly reminded of the basics such as not leaving active computers unattended and being constantly on the lookout for any suspicious behavior online. Having a reputation for maintaining the highest standards in identity theft prevention will bring more customers and reinforce existing customers' confidence in an institution's professionalism. A financial institution should maintain a high level of decorum and should equip their buildings and employees with high quality tools that will help customers feel safe and secure in all their dealings that have to do with their hard earned money. |
